Letters about planning approvals
We write to properties that have recently been granted planning permission, to offer our building services. Letters are addressed to "The Homeowner" or "The Property Owner". We do not use anyone's name.
What we use
- The property address and postcode
- The planning reference, the council, the decision date and the council's description of the approved works
- The name and address of any architect or agent company listed on the application
- A record of each letter we send: the date, our reference and any reply
Where it comes from
Councils publish planning decisions on public planning registers. We collect them through PlanIt (planit.org.uk), a free service that gathers these public registers in one place.
Why we use it
Our lawful basis is legitimate interests: offering building services to people with approved plans for building work. We have weighed this against your interests. The information is already public, we use only the address and the description of the works, we contact you by post only, and you can stop further letters at any time.
Who we share it with
If we use a print-and-post company to send letters, it receives only the address and the letter, and acts only on our instructions. We do not sell your information or pass it to anyone else.
How long we keep it
We keep a record of each letter for 2 years from the date we send it, then delete it. If you ask us to stop writing, we keep your address on a do-not-contact list for as long as needed to make sure we never write to you again.
How to stop our letters
Email info@apexsolutions-uk.com or call 0113 873 0257, quoting the reference on your letter if you have it. We will add your address to our do-not-contact list and will not write to it again.
If you contact us
When you ask us for a quote or advice, we use your details to reply, arrange a visit, price the work and, if you go ahead, carry it out.
- What we use: your name, phone number, email and address; details of the property and the work you want; notes from site visits, quotes and our correspondence with you.
- Why: to reply to your enquiry and prepare a quote (steps you have asked us to take before a contract); to carry out and invoice the work (our contract with you); to keep business and tax records (our legal obligations).
- Who we share it with: only what is needed with subcontractors carrying out part of your job (such as electricians), our suppliers and our accountants. We do not sell your information.
- How long we keep it: if you don't go ahead, we delete your enquiry details 2 years after our last contact. If we carry out work for you, we keep project and financial records for 6 years after the job ends, to meet tax rules and in case of questions about the work.
Your rights
You can ask us at any time to:
- give you a copy of the information we hold about you
- correct anything that is wrong
- delete your information
- limit how we use it
- stop using it, including stopping our marketing letters, which we will always do
- send information you gave us to you or another organisation in a reusable format
Email info@apexsolutions-uk.com or call 0113 873 0257. We will reply within one month, and there is normally no charge.

If you are unhappy with how we have used your information, please tell us first and we will try to put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
